We're leaving or pausing the service — what happens to residents, passes and data?

What a pause means for residents and guards, what to export beforehand, and how to arrange it — there is no self-service cancel.

Whether you are ending the contract or pausing during a transition, the effect on residents is the same and it is immediate. Knowing exactly what stops — and what to do the week before — keeps a planned exit from becoming a surprise at the gate.

Before the pause: get your data out

  1. Run and download the reports you will want later — the visitor log, residents, vehicles and incidents. See “Run reports and export your community's data”.
  2. Check your retention settings so you know what may already have aged out. See “Data retention settings for your community”.
  3. Tell residents and your security company yourselves. The platform sends no notification when a community is paused.

What stops the moment service is paused

Everything, for everyone at that community:

  • Residents, office staff and guards can no longer sign in, and anyone already signed in is cut off on their next action.
  • The door station and live screens stop, and guards cannot sign in to scan passes.
  • No push notifications, texts or emails go out from the community.

Anyone who tries to sign in sees one fixed message: “Service for this community is currently suspended. Please contact your community office or management company.” It gives no reason — the reason stays between you and the Maximum.Community team — so residents will come to the office for answers.

Who is not affected

A resident, guard or manager who also belongs to another active community keeps using that community as normal; only the paused community disappears for them.

Residents' own data

Before a pause, residents can request a copy of their data or the deletion of their account; requests are queued and move through pending, processing and ready to download. Point residents to “Delete my account or request my data”.

Arranging a pause or cancellation

There is no self-service cancel button. Contact the Maximum.Community team: a subscription can be set to end at the close of the current period, and pausing or archiving the community is done by the team on your instruction. Archiving behaves exactly like a pause from the residents' side.

Good to know

  • Archiving is simply the permanent form of a pause; from a resident's side the two are identical.
  • Data and deletion requests have to be started before the pause — once service is paused, residents can no longer sign in to make one.
