What counts toward our unit and resident numbers, and what happens if we go over?

Units, active residents, active guards and guard phone seats are counted; going over a plan limit is recorded but never blocks anything.

Boards often ask whether adding a building, onboarding a wave of new residents or hiring another guard will push the community over a limit and lock something. It will not. Here is what is counted, and what “over” actually means.

What is counted

  • Units — every unit set up in the community.
  • Residents — residents marked active. Residents the office has deactivated are not counted.
  • Guards — active guards assigned to the community.
  • Guard phone seats — active phone lines assigned to guards for intercom calls.

Visitors, passes, vehicles, announcements and work orders are not metered at all.

What happens if you go over

Nothing stops working. Usage is recorded and compared with your plan, and going past a limit is noted so it can be reviewed with you — but no create, invite or import is ever blocked because of it. A plan with no ceiling on a metric can never be over it. A subscription that is behind on payment also keeps all of its features while that is sorted out.

Keeping the counts honest

  • Follow the move-out checklist so former residents are deactivated rather than left on the roster.
  • Deactivate guards who have left.
  • Keep the unit list to real units rather than placeholders.

Features versus limits

Alongside the counts, your plan decides which features are available. A feature is on only when the plan includes it and your office has not switched it off in Settings. Turning a feature off is always your call; turning on one the plan lacks is a conversation with the Maximum.Community team.

Seeing your numbers

There is no usage page in the community dashboard today. Your units and residents are listed on the Units and Residents pages, and the Maximum.Community team can send you a usage summary against your plan on request.

Good to know

  • Deactivated residents and guards drop out of the count straight away — there is no need to delete their records to bring a number down.
  • Usage is counted per community, so a person who holds homes in two of your communities is counted once in each.
