What do the pass statuses mean: Valid now, Expired, Already used, Not valid right now, Inactive?

A glossary of the five pass status badges, which order the gate checks them in, and which ones still count as active.

Every pass you send shows a status badge — on your pass list, on the Present screen on the web, and on the page your guest opens from the link. All of them come from the same check the gate runs, so what you see is what the gate will decide.

The five statuses

  • Valid now — the pass will open the gate this minute. This is the only state in which a scannable QR code is shown.
  • Expired — the end date and time has passed. A one-time pass with no end set expires 24 hours after you create it; a recurring or permanent pass with no end set does not expire on its own.
  • Already used — the pass had a set number of entries and they have all been spent. Each scan at a door station, and each time the 6-digit code is typed at a kiosk, counts as one entry. A pass with no entry limit never shows this.
  • Not valid right now — the pass has a weekly schedule and the current time is outside it. It is not dead: it works again the next time its window opens.
  • Inactive — you switched the pass off with Deactivate, or you cancelled the visit it belonged to. There is no way to switch it back on; send a new pass instead.

Which reason the gate reports

When a pass is refused, the gate gives one reason, checked in this order: inactive, then expired, then entries used up, then outside the schedule. So a pass that is both expired and out of schedule shows as Expired. For an out-of-schedule pass the gate's own message just says the pass is not valid at this time — it deliberately does not reveal when the window opens.

What “Active” includes

The Active filter in the app and Show active only on the web hide passes that are inactive, expired, or used up. A pass that is merely outside its schedule stays in the list, and stays on the web's Present screen, because it will be good again soon. On the web each pass also shows Uses as a count against its limit (for example 0 / 1) and an Expires line.

Good to know

  • A party pass is counted by how many guests have checked in against the guest limit, not by scans, so it never shows Already used.
  • A recurring pass is judged by its weekly windows, so between windows it shows Not valid right now. Created without an end date, it runs indefinitely; if you gave it one, open it with Edit pass in the app and switch on Never expires.
  • A one-time pass defaults to a single entry. If you want a guest to come and go, raise the number of entries before you send it.
