Why can't I book that amenity slot? Booking limits, capacity and cancellation rules

Every 'cannot book' message maps to a rule the office set for that amenity — advance window, active-booking limit, capacity or hours — plus how cancelling works.

Booking the pool, clubhouse or gym usually takes three taps. When it does not, the message you get maps to a rule the office set for that specific amenity. Here is how to read them.

Read the amenity's rules first

Open the amenity under Amenities. The Details card shows its Capacity, the slot length in minutes, and Book up to N days ahead. Available Hours lists opening hours for each weekday, or Closed. Out of the box an amenity uses 60-minute slots, a 7-day window and 2 bookings per resident, but the office can change all of those.

The messages and what they mean

  • “Can only book up to N days in advance” — the date is beyond the amenity's window. Come back closer to the day.
  • “Cannot book in the past” — the slot's start time has already passed.
  • “Maximum N active bookings allowed for this amenity” — you already hold that many confirmed future bookings on this amenity. Cancel one, or wait for one to start; bookings whose start time has passed no longer count.
  • “This time slot is already fully booked” — the number of confirmed bookings overlapping that time has reached the capacity (which is 1 when the office has not set one). If two residents tap the same slot at the same moment, only one gets it.
  • A day shows Closed — no slots exist that day.

Cancelling a booking

On the amenity's My Bookings tab, a Cancel Booking button appears only on confirmed bookings whose start time is still in the future. Once a booking has started the button is gone, and a cancelled or completed booking has no button either. Bookings show as Confirmed, Cancelled or Completed.

Good to know

  • The Notes box on Confirm Booking is optional — use it to tell the office what the booking is for.
  • If Amenities and Bookings are missing from your menu, your community has not switched amenity booking on.
  • Limits are per amenity, so two bookings on the gym do not use up your allowance for the clubhouse.
