Why does my visitor still show “On site” hours after they left?

On site persists until a guard checks out, an exit camera reads the plate, a recurring guest re-enters, or the automatic sweep closes it — silently.

“On site” means a visit has an entry time and no exit time yet. It is closed when something records the exit — and if nothing does, the visit stays open until an automatic sweep closes it. A lingering “On site” usually means no one logged the departure, not that the guest is still inside.

What closes a visit

  • A guard checks the visitor out. The visit is marked departed and, if you have departure notices on, you are told.
  • An exit camera reads their plate. Where your community has an outbound camera, a visitor's plate on the way out closes the visit automatically — as long as they have been on site for at least two minutes, so a camera re-reading a car still at the gate does not “depart” them on arrival.
  • A recurring visitor comes back. When a guard logs a recurring visitor in again without a logged exit, the previous visit is closed first. The entry camera does the same for any visitor it re-reads on the way in.
  • The automatic sweep. If your community has automatic close-out turned on, visits still open after its overstay threshold — 24 hours unless the community has set otherwise — are closed automatically. This path deliberately sends no departure notice, because “your visitor has left” at 3 AM for someone who left at noon is worse than silence.

Why it did not close

If your community has no exit camera and the guard does not log departures for guests who simply drive out, visits close only at the sweep — and if automatic close-out is off, they stay open. That is expected. Resident plates are never exit-logged at all, so your own car is never “on site”.

Where you see it

  • In the app, the visitor's row under Visitors carries an Arrived badge while the visit is open; it disappears once the visit closes.
  • On the web at app.maximum.community, Visit history shows the entry time, the Departed time or On site, and a running duration. The web Visitors list can also be filtered to On Site.

If it worries you

A guest who is genuinely still on the property after they should have left is a matter for security, not the app; contact your community's security. If it is simply a stale record, it will close at the sweep. An open record does not by itself let anyone in — the pass rules still apply at the gate.

Good to know

  • Departure notices are off by default. Turn them on in your notification preferences if you want to hear when a guard checks someone out.
  • Durations are shown as minutes, hours, or days — for example 3h 42m.
